Party Supply Checklist Timeline

Great holiday parties take planning and preparation. Stay on track with this helpful timeline for a festive holiday gathering.

3 to 4 Weeks Before:

  • Set the date.
  • Create the guest list.
  • Send invitations.
  • Plan your holiday menu.
  • Determine the serving style — buffet, sit-down, family style or food stations.
  • Schedule activities like board games, charades or a gift exchange.
  • Make reservations. The holiday season is a busy time of year, so contact babysitters, kennels, caterers, rental companies or other help at least a month in advance. Make sure you have alternatives lined up in case of last-minute cancellations.
One Week Before:

  • Confirm all reservations and orders.
  • Call guests who have not yet responded.
  • Create your holiday-music playlist.
  • Buy decorations, party favors and other non-perishable supplies.
  • Purchase beverages.
  • Pick out your holiday attire.
The Day Before:

  • Pick up all food orders and thaw prepared food items. (A few food items may need to be picked up the day of the party.)
  • Pick up or schedule delivery of rental chairs, tables or other party needs, and begin setting up.
  • Clean and set out serving pieces.
  • Test camera and batteries.
  • Set up festive holiday decorations both inside and outside the home.
The Day of:

  • Pick up any remaining food orders.
  • Prepare foods and drinks.
  • Finalize decorations including balloons or other last-minute items.
  • Start the holiday music.
  • Keep the phone available for last-minute calls, directions and other information.
  • Greet guests and have fun!
